This Privacy Policy explains how SmartScreen24 (“we”, “us” or “our”) collects, uses, shares, and protects personal information when you use our billboard booking platform (the “Platform”). We handle personal data in line with the Data Protection Act, 2012 (Act 843) of Ghana. By using the Platform, you agree to the practices described here.

1. Who is responsible for your data

SmartScreen24 is the data controller responsible for your personal information. If you have any questions or wish to exercise your rights, contact us at privacy@smartscreen24.com.

2. Information we collect

  • Account information — your name, email address, phone number, and password (stored only as a secure hash).
  • Booking information — the LED screens you reserve, dates, pricing, and the advertising artwork you upload.
  • Payment information — processed by our payment provider. We receive confirmation and a transaction reference, but we do not store your full card details.
  • Communications — messages you send us and your notification preferences (email, SMS, and push).
  • Technical and usage data — IP address, device and browser information, and structured logs we keep to operate, secure, and improve the Platform.

3. How we use your information

  • to create and manage your account and authenticate you;
  • to process bookings and payments and to confirm and fulfil your orders;
  • to send service messages — verification codes, booking and payment confirmations, and lease-expiry reminders — by email, SMS, or push notification;
  • to review uploaded artwork and provide customer support;
  • to protect the Platform against fraud and abuse, including rate limiting and bot protection;
  • to comply with our legal obligations and enforce our Terms of Use.

4. Legal basis for processing

We process your personal data where it is necessary to perform our contract with you (for example, to fulfil a booking), where we have a legitimate interest (such as securing the Platform), where we have your consent (such as for certain notifications), or where we are required to do so by law. You can withdraw consent at any time where processing is based on it.

5. Service providers we share data with

We do not sell your personal information. We share it only with trusted service providers who process it on our behalf and under contract, including:

  • a payment processor (Hubtel), to take and verify mobile money and card payments;
  • an email provider, to deliver transactional email;
  • an SMS provider, to deliver one-time codes and alerts in Ghana;
  • cloud hosting, database, storage, and content-delivery providers that run the Platform;
  • a mapping provider, to show screen locations;
  • an error-monitoring and performance provider, to capture crashes and diagnostics so we can fix problems;
  • a bot-protection provider, to keep sign-up and sign-in secure.

We may also disclose information where required by law, to protect our rights, or as part of a business transfer.

6. Notifications and marketing

Service messages necessary to operate your account and bookings are part of the service. Where you opt in to push notifications or other optional updates, you can change your preferences or unsubscribe at any time from your account settings or the message itself.

7. Cookies and similar technologies

We use strictly necessary cookies to keep you signed in and to secure the Platform, and our bot-protection tool may set its own cookies. We do not use cookies to build advertising profiles of you.

8. Data retention

We keep your personal information for as long as your account is active and as needed to provide the Platform, then for any further period required to meet legal, accounting, or dispute-resolution obligations. When data is no longer needed, we delete or anonymise it.

9. Security

We use technical and organisational measures to protect your data, including encryption in transit, hashed passwords, row-level access controls, and session-revocation safeguards. No system is completely secure, so we cannot guarantee absolute security, but we work to protect your information and to respond promptly to any incident.

10. International transfers

Some of our service providers store or process data on servers located outside Ghana. Where this happens, we take steps to ensure your information continues to be protected to a standard consistent with this Policy and applicable law.

11. Your rights

Subject to applicable law, you have the right to:

  • access the personal information we hold about you;
  • ask us to correct inaccurate or incomplete information;
  • ask us to delete your information where there is no overriding reason to keep it;
  • object to or restrict certain processing, and withdraw consent where processing relies on it;
  • complain to the Data Protection Commission of Ghana.

12. Children

The Platform is intended for users aged 18 and over. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us so we can remove it.

13. Changes to this Policy

We may update this Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, notify you.
